Customs Clearance and Shipping for Exhibitors

CBSA Letter Of Recognition

Download the CBSA Letter Of Recognition for MSACL 2025 Montreal. All participants/exhibitors can utilize the Canada Border Services Agency (CBSA) event recognition letter for added justification for travel to Canada. Please note it does not replace the need to complete and return the PDF customs and shipping forms when sending material across the border.

Customs Details

If you reside outside of Canada, before you ship anything for MSACL 2025 , you need to determine who will be handling customs for your shipment.

We recommend using ConsultExpo.

As Soon As Possible, you should fill out the ConsultExpo Customs & Transportation Services Forms (they provide options for either an online or PDF form submission process).

You can also find this information within the GES Exhibitor Manual for MSACL 2025. Look in the Logistics, Shipping and Customs section.

ConsultExpo will provide a quote for the services requested (i.e. customs clearance and/or shipping).

If you choose not to accept the quote, you are free to shop around for another customs clearance and/or shipping agent.

ConsultExpo is a different company than GES. GES partners with ConsultExpo to offer customs and shipping services for exhibitors.

LAST MINUTE: If you decide to work with ConsultExpo at the last minute, you need to submit the customs forms AT LEAST 48 hours PRIOR to your carrier pick up for shipments addressed to GES. ConsultExpo will then send you a quote and request payment via credit card on their Order Form.

Regardless of who you choose for your customs agent, you will need to ship your materials to GES for advance warehousing. Managing your shipment to GES.

Customs and Shipping Overview

INBOUND : Homebase > Canada > GES > Hotel Bonaventure Exhibit Hall

  1. At least 48 hrs PRIOR to SHIPPING: Fill out the ConsultExpo customs and shipping formshere (ConsultExpo) or here (GES).
  2. If submitting as a PDF, please send the completed forms c/o Jeff Labbe Jeffl@consultexpoinc.com
  3. Once you have confirmation from ConsultExpo (or an alternate provider), you should SHIP your materials DIRECTLY to GES – for questions email (serviceinfo@ges.com) or call (1-514-367-4848 / 1-877-399-3976).
  4. Your customs agent (e.g., ConsultExpo) will clear your materials into Canada and act as your customs broker – roundtrip customs arrangements are advised.
  5. GES will oversee advance warehousing and transferring your material to the Hotel Bonaventure Exhibit Hall (St-Laurent Exhibit Hall).

OUTBOUND : Hotel Bonaventure Exhibit Hall > GES > Homebase

  1. Make sure to coordinate your return customs clearance and shipping needs AHEAD of the event to ensure a successful return of your materials to home base.
  2. If you have made arrangements with ConsultExpo (recommended) for return customs clearance and shipping, they will provide the return labels that you should affix to your packaging.
  3. Leave your packages at your booth – GES will move your materials to the loading dock
  4. If you are not utilizing ConsultExpo for return shipping and your carrier does not pick up your material, ConsultExpo will force your goods back to the GES warehouse, in which case forced freight fees will apply, as we cannot leave exhibit material at the hotel once the event is over.
